Summary: We only collect personal information we need to operate the Fit 845 Membership Assistance Fund. We do not sell your personal information. Payment card data is processed by Stripe and never touches our servers. Member request details are kept confidential and are not displayed publicly.

This Privacy Policy describes how Fit 845 LLC (“Fit 845,” “we,” “us”) collects, uses, and discloses personal information in connection with the Fit 845 Membership Assistance Fund and the related website and services (the “Services”). Fit 845 LLC is the data controller of the personal information processed through the Services.

I. Information we collect

We collect the following categories of personal information:

  • Contributor information: name (or chosen display name), email address, and contribution amount. Card details are collected and processed directly by Stripe; we receive only a transaction identifier, the last four digits, and brand of the card.
  • Assistance request information: name, email address, phone number, the studio you train at, a description of your hardship, the amount of assistance requested, and any supporting context you choose to provide.
  • Account information: for studio managers and program administrators, name, email address, role, and the studio(s) you administer.
  • Technical information: IP address, browser type, device information, pages viewed, and similar log data collected automatically when you use the Services.

II. How we use information

  • To process contributions and apply the Fit 845 dollar-for-dollar match.
  • To send transactional email such as receipts, request status updates, and account notifications.
  • To review and administer member assistance requests.
  • To operate, maintain, secure, and improve the Services.
  • To comply with legal obligations and enforce our Terms of Service.

We rely on the following legal bases where applicable: performance of a contract (processing your contribution or request), legitimate interests (operating the program securely), legal obligation, and, where required, your consent.

III. How we share information

We share personal information only as needed to operate the program:

  • Studio managers: assistance requests are shared with the manager(s) of the studio you selected so they can verify membership and apply approved assistance.
  • Service providers: Stripe (payments), Resend (email delivery), and hosting/infrastructure providers, each bound by contractual obligations to protect your information.
  • Legal and safety: to comply with law, respond to lawful requests, or protect the rights, property, or safety of Fit 845, our members, or others.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets.

Public fund pages display only anonymized aggregate activity (such as totals and recent anonymized contribution amounts). Member names, contact information, and hardship details are never shown publicly.

We do not sell your personal information.

IV. Cookies and tracking

We use a small number of strictly necessary cookies to keep you signed in and to operate the Services. We may use limited analytics to understand site usage and improve the Services. We do not use cross-site advertising trackers. You can control cookies through your browser settings; disabling essential cookies may impact your ability to sign in.

V. Children

The Services are not directed to children under the age of 16, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

VI. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information; to opt out of certain processing; or to appeal a decision we make about your request. To exercise these rights, email privacy@fit845.com. We may need to verify your identity before acting on your request. We will not discriminate against you for exercising your privacy rights.

VII. Data retention

We retain personal information for as long as needed to provide the Services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. Contribution records are retained as required by financial recordkeeping rules. Assistance request details are retained for the period needed to administer the program and any related appeals.

VIII. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit, access controls, and row-level database security. No system is perfectly secure; we cannot guarantee absolute security.

IX. International users

The Services are operated from the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the U.S.

X. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be communicated through the Services.
